Logistics Sub-Committee

 

i. Assist Logistics Director in setting up chess games by 6.30pm and keep the chess games at the end of the training every week.

ii. Sub-Committee Members will be given priority for application of positions in the Executive Committee.

 

 

Organising Committee

 

i. 5 Organising Committees to organise 5 sets of events, namely Matric Fair/Welcome Tea Organising Committee (Jul/Aug), Inter-Faculty Games/Sports Bazaar Organising Committee (Aug/Sep), NUS Chess Invitational Organising Committee (May/August), Introductory Workshop/NUS Intellectual Games Championship Organising Committee (Jan/Feb).

ii. Lead by at least 1 Executive Committee Members with the rest make up of at least 5 members. Plan & implement the events as stated. Coordinate with Treasurer, Publicity Director and Logistics director whenever necessary.

ii. Organising Committee Members will be given priority for application of positions in the Executive Committee.

 

 

 Executive Committee

 

Chairperson

1. Prepares agenda, chairs all Executive Committee meetings and vets minutes of meeting.

2. Books venue for Regular Trainings.

3. Vets financial documents such as Reimbursement Forms, Deposit Forms, Statement of Account, Statement of Budget.

4. Vets project documents such as Info Paper, Safety Management Plan and Post Event Report.

5. Sends out weekly email newsletter to all members.

6. Presents about the club during Welcome Tea.

7. Collects Students' Co-Curricular Activity Card to be endorsed by Sports Club.

8. Be the point of contact for all external organisations or individuals.

9. Interviews next Executive Committee.

 

Vice Chairperson (Internal) (Groom to be next Chairperson)

1. Be the Project Director or Vice Project Director of all events organised by the club such as NUS Intellectual Games Championships, NUS Chess Invitational, Introductory Workshop, Welcome Tea, IGC Chalet.

2. Prepares project documents such as Info Paper, Safety Management Plan and Post Event Report.

3. Obtains sponsorships for the upcoming year events during May to Aug.

4. Takes attendance for the club on every training.

5. Reimburses members for all club expenditures prior to reimbursement by NUSSU.

6. Becomes the new Chairperson for the next Executive Committee whenever possible.

7. Interviews next Executive Committee.

 

Vice Chairperson (External)

1. Serves as Member Club Representative in the Sports Club.

2. Disseminate Sports Club emails that concerns all members to all club members.

3. Be in charge of (external) events such as Welcome Tea, IFG and Sports Club Events such as Matriculation Fair, Sports Bazaar and Open House.

4. Monitors club website and ensures all club events are published.

5. Obtains sponsorships for the upcoming year events during May to Aug.

6. Interviews next Executive Committee.

 

Secretary

1. Informs all Executive Committee members to attend all Executive Committee meetings.

2. Keeps minutes of meeting for all Executive Committee meetings and sends them to Chairperson for vetting before sending it to all Executive Committee members within 1 week.

3. Consolidate attendance for every semester.

4. Assist the chairperson and project directors in paperwork and information dissemination.

5. Responsible for new member registrations and update contact list accordingly.

 

Treasurer

1. Fills in and submits Reimbursement Forms and Deposit Forms.

2. Prepares Statement of Account for the club. 

3. Plans Budget and prepares Statement of Budget.

4. Collects membership fees and liaise with Secretary for the registration of new members.

5. Issues receipts during events.

6. Reimburses members for all club expenditures prior to reimbursement by NUSSU.

 

Welfare Director

1. In charge of members' and EXCO's welfare.This includes tibits/sweet during training, end-of-semester welfare gift, IGC T-shirt etc.

2. Organize club celebration on certain festival (Chinese New Year, Mid-Autumn Festival etc.)

3. Responsible for the welfare of participants for competitions organized by IGC. Eg, door gifts, lucky draws, drinks, etc.

4. Occasionally organize club gathering and EXCO gathering (at least once per semester).

 

Publicity Director

1. Assists Organising Committee and Executive Committee in updating relevant activities in club Website.

2. Updates noticeboard with posters and flyers during upcoming club events.

3. Assists in designing of posters and flyers for upcoming club events.

 

Logistic Director

1. Keeps records of chess sets, boards, clocks and other inventories in the club.

2. Keeps the room clean and cupboards organized.

3. Prepares training session venue by 6.30pm every week.

4. Liaises with Organising Committee to provide logistic support when required.

 

Captain and Vice Captain

1. Plans, conducts and supervises the weekly training sessions. Ensure teaching sessions are interesting and help members, especially beginners, to improve their basic knowledge and skill in the chess game.

2. Plans and conducts introductory workshops for beginners.

3. Source for upcoming competitions on the websites of chess association and informs IGC members of upcoming competitions if any.

4. Gathers sufficient members for team competitions.
